This policy is applicable from the Jan 1, 2024 and may change to suit actual conditions without prior notice. However, tours booked at the time of the current policy, when there is a change, will still be applied according to the policy when booking the tour.

  1. TOUR PRICES AND SERVICES

Inthe Wild Tours’ quotes may change due to market fluctuations, changes in service providers… affecting the price of the tour. Inthe Wild Tours will keep the same price for bookings that have been “Confirmed tour”, bookings that have not been confirmed tour when there is a price change will have to update the price according to the new price policy without prior notice from Inthe Wild Tours.

Inthe Wild Tours does not conduct cheap tours, does not cut services, does not “go out at night” with local partners, does not compete with competitors on price because the values ​​and services of Inthe Wild Tours are the actual values ​​necessary to create high-class services that affirm the value when customers join the tour with Inthe Wild Tours.

  1. IF ONE OR SOME PEOPLE HAVE BOOKED A TOUR BUT POSTPONE/CANCEL THE TOUR, WILL IT AFFECT OTHER MEMBERS?

Yes!

Inthe Wild Tours tour price is based on the number of members/number of riders…so when one or several riders postpone/cancel the tour, it will affect the tour price and at this time the tour price will be adjusted according to the price list and you must pay for the remaining amount due to the postponement or cancellation of one or more other riders.

  1. DEPOSIT

To confirm the booking for a tour or private group tour, you must pay for a deposit. Inthe Wild Tours requires a deposit equivalent to:

  • 30% of the regular tour price organized in Dien Bien and applied to “Dien Bien Tours” but less than 5 days tour.
  • 50% of the tour price for long tours (from 5 days or more) or customized tours
  • 70% of the tour price for “International Tours” and overland tours
  1. PAYMENT

The remaining amount will have to be paid according to the following specific tour types:

  • For “Dien Bien Tours” but less than 5 days tour: 7 days before the tour departure date
  • For “Dien Bien Tours” but from 5 days or more or customized tours: 30 days before the tour departure date
  • For “International Tours”, overland tours: 45 days before the tour departure date
  1. TOUR CONFIRMATION and TOUR CONTRACT SCHEDULE

As soon as we receive the deposit, Inthe Wild Tours will send an email/text message to notify that we have received the deposit and will collect the group list information (according to additional requirements for each specific tour type) and make a “TOUR CONFIRMATION” with the signature from Inthe Wild Tours to send to the customer. The time may be up to 2 working days from the date of receiving the deposit.

After completing the Tour Confirmation, Inthe Wild Tours will make a Travel Contract for signing between the two parties. Inthe Wild Tours can send a hard copy (original) by post to the address you provide or you can receive it when you arrive in Dien Bien – before going on the tour. The content of the Travel Contract is a type of civil contract according to the provisions of the 2017 Tourism Law No. 09/2017/QH14 and the Government’s subsequent amended decrees.

  1. TOUR CANCELLATION

If you have booked a tour with Inthe Wild Tours but for some reason cannot take it, you can postpone it and move to another time that best suits you. In this case, you can:

6.1. Tour postponement: 100% refund according to the policy of the value you paid to Inthe Wild Tours is reserved within 365 days. During that time, you can join any of our tour at the price specified for that tour at the time you confirm to go on that tour. Your payment will be deducted from the new tour and you can receive a refund or have to pay more, depending on the difference. After 365 days, if you do not join any tour, the amount you paid will be transferred to the community development funds to serve the community development projects of Inthe Wild Tours in Dien Bien.

6.2. Tour Cancellation: Tour cancellation policy is applied to each specific tour type as follows:

(a) For Vietnam tours:

  • 14 days before the tour departure date, Inthe Wild Tours will refund 100% of the amount you have paid.
  • 10 days before the tour departure date, Inthe Wild Tours will refund 70% of the amount you have paid
  • 7 days before the tour departure date, Inthe Wild Tours will refund 50% of the amount you have paid
  • Less than 7 days from the tour departure date, Inthe Wild Tours will refund 0% of the amount you have paid

(b) For overland or international tours:

  • 45 days before the tour departure date, Inthe Wild Tours will refund 100% of the amount you have paid after deducting the fees related to applying for permits.
  • 21 to 44 days before the tour departure date, Inthe Wild Tours will refund 70% of the amount you have paid after deducting the fees related to applying for permits.
  • 14 – 20 days before the tour departure date, Inthe Wild Tours will refund 0% of the amount you have paid
  • In case you are denied a visa, the above conditions will also apply

(c) Inthe Wild Tours has the full right to decide on the amount you have paid that cannot be implemented based on the above tour cancellation policy and does not need to explain or have the obligation to explain to anyone.

  1. SELLING/TRANSFERRING TOUR PARTICIPATION

Inthe Wild Tours fully accepts that you can sell/transfer or exchange your tour to another person on the condition that you must be the one who proactively informs that person about the tour participation conditions, terms and regulations of each type of tour, agreeing to all conditions, terms and regulations of Inthe Wild Tours.

  1. CANCELLATION WHILE ON TOUR

While participating in the tour, but for any reason you cancel the tour, you will not receive any refund. nor will you receive any costs for finding a means of transport to leave the group or related costs.

  1. CANCELLATION OF TOUR IN CASE OF FORCE MAJEURE

In case of force majeure such as natural disasters, epidemics, storms, floods, fires, earthquakes, wars, terrorism… Inthe Wild Tours will refund 100% of the amount you have paid and is not legally responsible for issues related to the safety and travel of customers. However, in such conditions, Inthe Wild Tours will do its best to find solutions, support… seek help from local authorities, governments of other countries and rescue organizations because as a “Pi Noong”, Inthe Wild Tours will always be by your side.

  1. IF YOU MISS YOUR FLIGHT, TRAIN/VEHICLE TO MEET UP AT THE TOUR DEPARTURE POINT

You will be required to immediately notify your customer service staff of the missed flight, train/vehicle.

  • In case the tour departs on the first day within 200km from the departure point, Inthe Wild Tours may arrange a vehicle/guide to catch up with the group.
  • In case the group departs by other public transport: plane (to another city/country), you will have to proactively change the flight schedule and proactively arrange your own vehicle to catch up with the group as scheduled
  • In case you are unable or unwilling to continue participating in the tour, it will be considered as unilateral termination of the contract and voluntary departure from the group and you will not receive any compensation. You must proactively work with the airline, train/vehicle that caused the delay affecting your tour participation to request that carrier or insurance to compensate you. Inthe Wild Tours is not responsible for compensation (even if Inthe Wild Tours booked the ticket), so Inthe Wild Tours encourages you to purchase travel insurance that includes the following terms: financial cost protection (cancellation, interruption, delay, …), health protection (expenses for illness, accidents, emergency evacuation …) and property protection (loss, misplacement …)
